Privacy Notice

1. Roles

For evidence and records a Customer creates, the Customer is the controller and Occasions Digital Studio (operator of FieldProof Business) is its processor. For account and website data we are the controller.

2. What we collect

Account data: name, email, company and role.

Work data: requests, visits, assignments, findings, reports and the audit history of changes.

Evidence: photos and videos, capture time, device time, GPS position and accuracy at the moment of capture, and a file fingerprint.

Technical data needed to run the service, such as push-notification subscriptions you opt into.

3. Location

Location is recorded only when a field user captures evidence. Optional live position sharing is off by default, shows managers only the latest position, and keeps no trail.

4. Who can see data

Access is limited to the Customer's own company. Field inspectors see only visits assigned to them. Viewers have read-only access. FieldProof Operations staff see a request only under a time-limited, revocable grant, and their access is logged.

Verification links share only what a manager chooses to publish and can be revoked at any time.

5. Storage and retention

Evidence files are stored in private storage and served through short-lived authorised links. Data is kept for the life of the Customer's account and deleted or returned on request when the account ends, except published reports and audit records the Customer must retain.

6. Your rights

Field staff and other individuals can ask their employer (the Customer) to access, correct or delete their data. We help Customers respond to these requests.

7. Email

Service emails (such as invitations) are sent only from a verified FieldProof Business sender. We do not send marketing email without consent.
